3. How we use it, and our lawful bases

Data protection law requires a lawful basis for each use of personal information. Ours are:

PurposeLawful basis

Showing your profile and the contact details you choose to share to other members of your countiesContract, in line with the visibility choices you make
Taking monthly payments, managing your minimum term, additional counties and cancellationsContract
Sending membership emails (for example payment confirmations, cancellation and term notices, profile live)Contract

Keeping the service secure, preventing fraud and misuse, and fixing problemsLegitimate interests: running a safe and reliable service
Understanding how people use the website (counting product events, without names or emails) to improve itLegitimate interests: improving the service
Answering your enquiriesLegitimate interests, or contract where the enquiry is about your membership
Enforcing our membership terms and handling legal claimsLegitimate interests

Where we rely on legitimate interests, we have considered your interests and rights, and you can object (see section 8).

4. Who can see your profile

Your member profile is visible only to signed-in members who belong to at least one of the same counties as you, and only once your profile is complete. Our team can see all profiles to run the service. If you want your profile taken out of the directory, email hello@networking48.co.uk.

You choose whether other members can see your email address and your phone and WhatsApp numbers. These are never shown on the public website.

Being featured on your county's public page is a separate choice. It is off unless you switch it on, and you can switch it off at any time. When it's on, the public page can show your first name, the initial of your surname, your photo, job title, business name and town. It never shows your contact details.

Profile photos and business logos are stored so that they load as ordinary images: anyone who is given the address of an image file can view it, but image addresses are random and aren't listed publicly.

Some member events are listed on the public website. A public event listing shows event details only: the list of members attending is never public.

5. Who we share it with

We use these service providers to run Networking48. They process personal information on our behalf and under contract:

  • Supabase: our database, sign-in and authentication emails, and storage for photos and logos.
  • Stripe: payments, the secure checkout page, the billing portal (payment methods, billing details and invoices) and invoices. Stripe also processes payment information as a controller in its own right for some purposes, such as fraud prevention; see Stripe's privacy policy.
  • Resend: delivery of our membership emails.
  • Vercel Inc.: hosting the website.

We may also share information with our professional advisers, or where the law requires it (for example with HMRC or the police), and with a buyer if Networking48 or its business is ever sold, in which case this policy would continue to apply.

We never sell your personal information.

6. International transfers

Some of our service providers store or process information outside the UK, for example in the European Economic Area or the United States. Where that happens, we rely on the safeguards UK data protection law requires, such as UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.

7. How long we keep it

We keep your account, profile and membership information for as long as you have an account with us. If your membership ends, your account stays so that you can rejoin, unless you ask us to delete it.

We keep billing and payment records for as long as we need them to meet our accounting and tax obligations, and other records only for as long as we need them for the purposes in this policy, for example to deal with a dispute.

Server and security logs are kept by our providers for a limited period in line with their own retention settings.

8. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you (access);
  • ask us to correct information that is wrong or incomplete (rectification). You can update most of your profile yourself;
  • ask us to delete your information (erasure). We may need to keep some records, such as billing records, where the law requires it;
  • ask us to limit how we use your information (restriction);
  • object to our use of your information where we rely on legitimate interests;
  • receive the information you gave us in a portable format (portability), where we rely on contract or consent;
  • withdraw your consent at any time where we rely on it, for example by switching off the public county page feature.

These rights have some exceptions and conditions set out in the law. To use any of them, email hello@networking48.co.uk. We may ask you to confirm your identity. We normally reply within one month.

You also have the right to complain to the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to help first, so please contact us.

9. Keeping it secure

Access to member information is limited by your county memberships and enforced by our database. Passwords are never stored in readable form, payments are handled by Stripe, and secret keys are kept on our servers only. No system is perfectly secure, but we take reasonable steps to protect your information.

10. Cookies

We use only cookies that are strictly necessary for the website to work, such as keeping you signed in. See our cookie policy.

11. Changes to this policy

We'll update this policy if the way we use personal information changes, and tell members by email about important changes. This version applies from 23 February 2024.
